Shirt Orders and Email Privacy

MaddHatter Productions uses information provided during shirt checkout to handle orders, match payments, communicate about production, and arrange pickup. This notice covers shirt orders and the website’s order-email connection.

Information used for orders

When you place an order, the website records the information you provide, including your name, email address, phone number, checkout address, selected shirt design, size, quantity, order notes, and order total. These details are stored in the website’s WooCommerce order system so MaddHatter Productions can handle your order.

Pickup takes place at MaddHatter shows. Providing an address at checkout does not arrange shipping.

Zelle payments

Payments are made separately through Zelle to info.maddhatter@gmail.com, with the recipient shown as MaddHatter Productions. The website does not collect your bank login or automatically verify Zelle payments. MaddHatter Productions checks payments and matches them to orders manually.

Order emails and Google data

The website uses FluentSMTP and an authorized connection to MaddHatter Productions’ Gmail account to send transactional website emails, including order confirmations and order updates. Google processes those emails through Gmail. Email content can include customer contact information, order details, and pickup or payment instructions.

The website stores the Gmail connection’s authorization information to maintain this sending connection. FluentSMTP encrypts the application client secret in the website database. Customers do not need to connect their own Google accounts to buy a shirt.

FluentSMTP keeps website email logs, which can include recipients, message content, sending dates, and delivery status. The current log setting deletes those logs after 14 days. Order records are separate from these email logs.
